Google Workspace administration
Google Workspace support and administration for small business.
Everyday help fixes what just broke. Google Workspace administration keeps the account itself in order: users and groups, shared drives, Gmail aliases and routing, 2-Step Verification setup and sign-in recovery, in both plans. The Managed plan adds Workspace backup, 2-Step Verification enforced for everyone and a quarterly review.
Users, groups and shared drives
The everyday administration, in both plans: accounts that match the people who work here, and files that belong to the business rather than to one person.
Users and licences
Accounts are created before a start date, placed in the right organizational unit and given a licence. When someone leaves, the account is suspended, their files go to a named colleague, and the licence is freed when the business says so. The licences themselves are purchased separately.
Groups and shared addresses
Google Groups for teams and for shared addresses such as info@ or billing@, with the right members, a named owner and sensible posting settings, kept current as people come and go.
Shared drives
Shared drives created per team, client or project, with members and access levels set on request, so work files stay with the business when someone leaves instead of sitting in one person’s My Drive.
Gmail aliases, routing and delegation
Mail that reaches the right person, including the week someone starts and the day someone leaves.
Aliases and alternate addresses
Email aliases added and removed on request, and a shared address set up as a group or as a delegated mailbox, depending on how your team answers it.
Routing and forwarding
Routine routing changes in the admin console, such as sending a departed person’s mail to a colleague for a set period. Split or dual delivery while you move between platforms is part of the migration project.
Delegation and shared calendars
Mailbox delegation for an assistant or a manager, and shared calendars and bookable resources such as meeting rooms, each set up with a named owner.
2-Step Verification, sign-in and devices
Sign-in that works, and a clear picture of which devices hold work mail and files.
2-Step Verification
In both plans, 2-Step Verification is set up with each person, with a second method so a lost phone does not become a lockout. On the Managed plan it is enforced for everyone, and administrator accounts are kept separate from everyday ones.
Sign-in recovery
When someone is locked out, sign-in is restored once we have confirmed who is asking. We never ask anyone for a password or a recovery code.
Device basics
Google’s device list shows which phones and computers hold work mail and files. It is checked when people join and leave, and a lost phone is signed out of work data on request, where your Workspace edition allows it. On Managed, computers are also monitored, patched and protected.
What Managed adds, and what is quoted as a project
Backup and the security baseline are part of the Managed plan. Migrations are quoted in writing before work.
Workspace backup on Managed
Gmail, Drive and shared drives are backed up, with restores on request and the backup licence included. The Essential plan does not include backup.
Security baseline on Managed
2-Step Verification enforced for everyone, separate administrator accounts, and the platform’s sign-in and email-protection settings, plus SPF, DKIM and DMARC on your domain, configured and kept current.
Quarterly review on Managed
Licences against active staff, accounts nobody uses, group and shared-drive owners, and renewals, reviewed with you once a quarter.
Migrations quoted as projects
Moving to Google Workspace from another platform, moving from Google Workspace to Microsoft 365, or bringing two accounts together is quoted in writing before work, with dates and owners agreed. Day-to-day administration afterwards is in both plans.
Before the first call
A useful first conversation starts with simple facts.
Bring what you already know. Nothing on this list needs a password.
Bring this to the first call
Rough answers are fine.
- Number of users, and your Google Workspace edition if you know it
- Who holds super admin access today
- Shared addresses, groups and shared drives the team relies on
- Whether 2-Step Verification is on for everyone
- Anyone who has left whose account is still active
- Any planned move to or from Google Workspace
Questions
What firms ask about Google Workspace support.
Short, specific answers. Anything not covered here is a good first question for the call.
Ask yours in the form belowIs Google Workspace administration included in both plans?
Yes. Essential ($59 CAD per user, per month) and Managed ($89) both include Google Workspace administration: users, groups, shared drives, Gmail aliases and routing, licence assignment, 2-Step Verification setup and sign-in recovery. Managed adds Workspace backup, the security baseline and a quarterly review. Prices are before taxes.
Is Google Workspace backup included?
On the Managed plan: Gmail, Drive and shared drives are backed up, restores are made on request, and the backup licence is included. The Essential plan does not include backup.
Are Google Workspace licences included in the price?
No. Google Workspace licences are purchased separately, like other software licences. Assigning and removing them is in both plans, and on the Managed plan the quarterly review checks them against active staff.
Can you move us to Google Workspace, or from it to Microsoft 365?
Yes, as a project quoted in writing before work: mailboxes, files, shared drives and calendars moved in sequence, with the mail cutover planned. Day-to-day administration after the move is in both plans.
Will you need our super admin password?
No. We never ask for passwords, by email, by phone or through this website. Admin access is granted through approved secure channels and recorded, and on the Managed plan administrator accounts are kept separate from everyday accounts.
Do you support Google Workspace users on Mac, Windows and phones?
Yes. Both plans include remote support for Windows, macOS, iOS and Android devices. On the Managed plan, computers are also monitored, patched automatically and protected.
